Scheduling and downloading a transcript using the 151-151 Pro app for Windows 10

Scheduling a transcript as part of the “Sync” process.

To schedule a transcript using the 151-151 Pro app for windows 10, the sound file will first need to be uploaded to the 151-151 server.  This gives the chosen Transcript Provider secure access to the sound file. Uploading a recording to the server is done via the “Server Syncronization” page and as part of the “Sync” process. You can choose to schedule a transcript request as an option on the Server Syncronzation page.

To navigate to the Server Syncronization page, the user must first be logged in to their 151-151 server account. Once logged in, the user can select Sync option from the sub-menu displayed for each recording on the Local Recording List page, or click the Sync button in the header bar on the Recording Details page.

The Sync process is designed to upload all the selected elements of a 151-151 recording (including any published tags and linked documents) and at this stage you can also choose to add the recording to an “Activity” record and/or schedule a transcript.

To schedule a transcript request click the Schedule Transcript toggle switch. This will fetch a list of the transcript provider options configured as part of the 151-151 server account. Click the down-arrow to display the list and select th e most appropriate transcript type.

On click of the Confirm button in page header, the sync process will scroll through each of the selected syncronzation processes. If the user has selected to schedule a transcript, the server will communicate with the selected transcript provider to create a “transcript request”.

On completion of the Sync process a transcript request is stored in the 151-151 server database. The server will then wait for notification that the Transcript Provider has completed the request.

To review a list of pending transcript requests and poll the server for any completed transcripts you can either select the Transcript Manager tile on the Home page of the app, or click the “Show transcript requests” button on the Transcript tab of the Recording Details page of the recording record.

You can download completed transcripts either from Transcript Manager page, which is accessed from the Home page, or the Transcript tab of the Recording Details page.

Click on the Transcript Manager tile on the Home page to display the Scheduled Transcript Requests page. This will display a list of recordings for which transcripts have been scheduled, but not yet downloaded.

Click the paperclip icon to display a list of scheduled transcripts for any listed recording. On the pop-up windows, click the Get Completed Transcript(s) button to download any completed transcripts.

You can also click the Show Scheduled Transcripts button on the Transcripts tab of the Recording Details page.

The transcript content downloaded from the server will depend on the transcript “format” provided by the Transcript Provider. For Machine generated transcripts, the transcript format will be plain text and JSON. For Human generated transcripts the transcript format will also have a plain text version, but might also include a transcript document. If a document has been generated by the Transcript Provider, the document will be downloaded and attached to the recording record as a linked document on the Documents tab of the Recording Details page.
